It is not legal advice; recording and transcription laws vary by region so when in doubt, check with your own legal or IT team. ## Always get consent when transcribing others It is best practice to make sure participants know when you use AI notetaking tools. This applies whether you're on a video call, a face-to-face conversation, or dialling in from your phone. Learn more about the features [here](/help-center/consent-security-privacy/transparency-solutions/introduction). ## Guidelines for AI transcription Check with your team admin or legal team on what types of meetings you can transcribe, as different companies have their own preferences based on scope and sensitivity. If you are transcribing and the conversation shifts into something sensitive mid-meeting, you can pause transcription and restart when the room is ready to continue. If something sensitive does get transcribed, you can always edit a Granola note and delete it. ## How Granola maintains privacy and transparency * **Private by default.** Your notes are only visible to you unless you choose to share them, no matter what type of meeting it is. * **No audio retention on desktop.** Granola transcribes in real time on macOS and Windows and doesn't store the audio from meetings. If you have a meeting via mobile, Granola temporarily caches the audio but then only stores the transcript. * **No LLM provider model training.** Our agreements with sub-processors prohibit them from using your data for model training. * **Clear in-meeting indicators.** When enabled, Granola shows a watermark on the user’s camera and an automated message in the meeting chat that are visible to everyone in the meeting. ## Letting people know you’re using Granola For virtual meetings, Granola offers ways to make it clear to participants that notes are being captured. This data is never sent to third parties — we have enterprise agreements with all of our service providers that prevent your data from being used in their model training. You can opt out of model training at any time. ## How to opt out of model training 1. In the Granola desktop app, open [Settings > Preferences](https://grano.la/app?path=%2Fsettings%2Fpreferences). 2. Find the **Use my data to improve models for everyone** setting. 3. Turn the toggle **off**. Once the toggle is off, your data is no longer used to improve Granola's models. The setting applies to your whole account, so you only need to change it once. The toggle isn't available in the Android app yet — change it from desktop or iOS and it will apply everywhere. **Enterprise workspaces:** Enterprise customers are opted out by default, and admins can enforce the setting across the entire organization. Currently, all data is stored on AWS in the US. We do not offer EU, UK, or other regional data residency at this time. If your institution requires FERPA compliance, Granola may not be suitable for use with student education records at this time. # Recording, Consent & Audio Granola runs **locally on your device** and captures audio directly from your microphone and system audio. **No bot joins your meeting** — other participants will not see any additional attendee. This is a core part of our privacy-first design. You are responsible for obtaining consent from participants before using Granola. To help, Granola offers ways to make it clear to participants that notes are being captured — see [Let people know you're using Granola](/help-center/consent-security-privacy/transparency-solutions/introduction). We strongly recommend always informing participants that you're taking AI-enhanced notes. No. Audio is temporarily cached during the meeting for transcription only. Once transcription is complete, the audio is deleted from our systems and any third-party services. We do not retain audio recordings. Granola requires you to **click to start** recording — it does not start completely automatically. However, if a meeting runs longer than expected or you don't end the session, it may continue transcribing. Always click **End** when your meeting finishes to ensure clean separation between sessions. # Note Privacy & Sharing Your notes are **private by default**. No one in your workspace can see your notes unless you explicitly share them. You control sharing with three levels: **Private** (only you), **Only your company** (people signed in with your company email), or **Anyone with link** (public). This applies across all plans, including the free tier. See [Sharing controls](/help-center/consent-security-privacy/sharing-controls) for details. No — admins cannot see your individual notes. Notes remain private to you unless you choose to add them to a folder in your team space or share them directly with specific colleagues. Enterprise admins can set maximum sharing permissions (e.g. restrict public links), but they cannot view your private notes. See [Sharing controls](/help-center/consent-security-privacy/sharing-controls) for more. The MCP integration uses browser-based OAuth and only accesses notes you have permission to view. Colleagues using the same Claude or Cursor instance would not gain access to your Granola notes through the integration. Yes — transferred notes remain private by default. Your teammates won't have access unless you choose to share them. # AI & Model Training By default on Free and Business plans, anonymised data may be used for Granola's own model improvements. You can **opt out at any time**: go to **Settings → Preferences → Data & sharing** and turn off **"Use my data to improve models for everyone."** Third parties like OpenAI and Anthropic are **never** allowed to train on your data — we have enterprise agreements preventing this. On the **Enterprise** plan, admins can configure org-wide opt-out in **Settings → Workspace > General** under **Data security**. On the **Business** plan, each user needs to opt out individually. For more details, visit [granola.ai/security](https://www.granola.ai/security). We cannot guarantee that anonymised data wasn't used before you changed the setting. However, once you opt out, **none of your data** will be used for any future model training. # Data Retention & Deletion Notes and transcripts are retained **indefinitely** unless you or your admin configures a retention policy. All authentication is delegated to your identity provider — Google, Microsoft, or your organization's SSO provider. To protect your Granola account with multi-factor authentication, enable it on your identity provider. All authentication is delegated to your identity provider — Google, Microsoft, or your organization's SSO provider. Whatever password policies your identity provider enforces (complexity requirements, expiration, etc.) apply to your Granola sign-in. Enterprise admins get: org-wide sharing restrictions, org-wide model training opt-out, transcript retention policies, SSO enforcement, usage analytics, and priority support. [Granola allows you to easily share notes](../sharing/sharing-notes "../sharing/sharing-notes") with others so that everyone can benefit from the summary of the meeting and chat with the transcripts. This doc walks through how to set up controls over who can view your notes. If you're using Granola for iPhone, you'll need to follow these steps in Granola on macOS/Windows to change sharing settings. # **Editing sharing for an individual note** In each set of notes, you can view and edit who has access in the top right: image.png # **Editing default sharing permissions** ## Free or Business plans Change your Default link sharing settings to either 'Anyone with the link', 'Only my company' or 'Private' depending on your preference. You can find this in **Settings > Preferences > Data & sharing**. Please note this only applies to notes created after the change — it does not apply retroactively to existing notes. image.png ## **Enterprise plans only: configure for your whole organization** If you're on our Enterprise plan, an admin can configure how your company's notes and folders can be shared to others, via **Settings > Workspace > General**. Unlike Free and Business plans, changes to this setting apply retroactively to all existing notes and folders in the workspace. Individuals in the workspace are then unable to change their sharing settings beyond this permission level. image.png There are three options: * **Allow public links**: All notes and folders will have sharing enabled. The link generated will be public and can be shared outside of your company. * **Only people at your company**: Notes and folders will have sharing enabled, but can only be viewed by someone authenticating with your workspace's email. * **Restricted access**: Notes and folders have sharing disabled, meaning no sharing link is generated and people need to be explicitly invited in order to view. On Granola for iPhone, sharing links will still be generated, but recipients will either be unable to access them (if **Restricted access** is selected), or they will only be able to access them by authenticating with your workspace's email (if **Only people at your company** is selected) # Transcript auto-deletion Source: https://docs.granola.ai/help-center/consent-security-privacy/transcript-auto-deletion Granola's transcript retention policy. How long transcripts are kept and when they're automatically deleted. Granola allows you to automatically delete transcripts after a set period of time. This applies only to **transcripts** — your notes are not affected and will remain available. This feature is available to both individual users and enterprise workspace admins. # For individual users If you're on a non-enterprise plan, you can set your own transcript auto-deletion period from your preferences. 1. Open Granola and go to **Settings** 2. In the left sidebar, click **Preferences** 3. Under the **Data & sharing** section, find **Auto deletion period for transcripts** 4. Choose a retention period from the dropdown: **1 day**, **1 week**, **1 month**, **3 months**, **6 months**, or **1 year** — or select **Off** to disable auto-deletion When you first enable this setting, you'll see a confirmation dialog explaining the consequences. The setting does not take effect immediately — a **one-week cooldown period** applies before any transcripts are deleted. This gives you time to change your mind if needed. Once the cooldown has passed, any transcripts older than your chosen retention period will be automatically deleted on a rolling basis. Your individual transcript retention setting only applies to your own transcripts within that workspace. It does not affect other members. # For enterprise workspaces Enterprise workspace admins can request a transcript retention policy that applies to **all users** across the workspace. This is currently configured by contacting Granola — reach out to your account manager or email us at [hey@granola.so](mailto:hey@granola.so). When an enterprise admin enables transcript auto-deletion: * The policy applies workspace-wide — individual users cannot override it * If any user had previously set their own individual retention preference, it is automatically overridden by the workspace-level policy * All existing transcripts older than the retention period are deleted immediately when the policy is activated — there is no cooldown period for enterprise policies Enterprise admins can view the current retention setting in **Workspace Settings** under the **Data security** section. # Important things to know before enabling Transcript deletion is **permanent and irreversible**. Once a transcript is deleted, it cannot be recovered. Before enabling transcript auto-deletion, make sure you understand the following: * **Notes are not affected.** Only the underlying transcript is deleted — your AI-generated notes and any manual notes you've taken will remain. * **Regenerating notes will not work properly.** Granola uses the transcript to generate and regenerate your notes. Once a transcript is deleted, you will no longer be able to regenerate notes for that meeting. Make sure you're happy with your notes before the transcript is deleted. * **Chat quality will be degraded.** Granola Chat uses the transcript to answer questions about your meetings. Without the transcript, chat responses for affected meetings will be limited to whatever is in your notes. * **There is a one-week cooldown for individual users only.** When you first enable the setting (or change the retention period), there is a one-week waiting period before any transcripts are actually deleted. Enterprise workspace policies do not have a cooldown — existing transcripts are deleted immediately when the policy is activated. * **Enterprise settings take priority.** If your workspace admin sets a retention policy, it overrides any individual setting you may have configured. * **Deletion happens automatically.** Once the cooldown has passed, transcripts older than the retention period are deleted automatically on a rolling basis — you won't be prompted each time. # What happens after a transcript is deleted When viewing a meeting whose transcript has been deleted: * Your notes will still be visible and editable * The transcript panel will show a message indicating that the transcript has been deleted * You will not be able to regenerate or update your AI-generated notes for that meeting * Chat responses about that meeting will be limited # Frequently asked questions No. Once a transcript is deleted, it is permanently removed and cannot be recovered. No. Transcript auto-deletion only removes the transcript. Your notes remain untouched. Yes. Individual users can set the retention period back to **Off** at any time. For enterprise workspaces, contact your workspace admin or Granola support. No. Workspace-level retention policies apply to all members and cannot be overridden by individual users. It's quick, automatic, and visible without interrupting the flow of conversation. On Google Meet, the message is pinned when the meeting's chat settings allow it. A message in the meeting chat reading "Granola is transcribing this call. See who is transcribing at https://grano.la/shbmjn". When several people from your workspace are using Granola in the same meeting, only one message is sent to the chat. The link in that message opens the live page below, listing everyone in the meeting who is transcribing right now. The live page opened by the link, listing the people currently using Granola in the meeting. If someone joins a few minutes late, Granola sends a reminder in the chat. How the message gets delivered depends on the meeting app: * **Google Meet** — delivered by the **[Granola Chrome extension](https://chromewebstore.google.com/detail/granola/opaadbjlebbbnmjjgdmdllingedoleml)**. Works on macOS and Windows. Requires Google Chrome or a supported Chromium based browser (Edge, Arc, Brave). * **Zoom and Microsoft Teams** — Granola sends the message in the meeting chat. Workspace admins can enforce this for the whole team on **macOS** and **Windows**. On macOS, this requires Accessibility permission, which can be granted via MDM or individually. Install the Chrome extension, allow pinning, and enable the automated chat message. Enable the automated chat message for your workspace. ## Granola Watermark Adds a visible indicator (the "watermark" badge) to your video so other participants can see that Granola is transcribing. It works with any video app that lets you choose a camera source — Google Meet, Zoom, Microsoft Teams, and others — on both macOS and Windows. The watermark only appears while Granola is actively transcribing and disappears when you stop. Before workspace watermark setup can be enabled, you must first enable at least one automated chat message option (Google Meet, Zoom, or Microsoft Teams). This ensures Granola can still keep transcription compliant if a user later turns their camera off in the same meeting.
